Create inventory journals in BackOffice
Inventory journals serve as the foundation for performing stock counts. In them, you decide which warehouse, product groups, and articles should be included in the inventory, and when the counting can begin.
You can find the inventory journals in Stock Tools > Inventory Journals in the main menu.
Find existing inventory journals
- Go to Stock Tools > Inventory Journals.
- In the right-hand panel, select the Warehouse (e.g., Nol) and click Filter.
- The list in the left-hand panel updates to show all journals for the selected warehouse.
- For each journal in the list, you can:
- Start inventory
- View results
- Edit
Create a new inventory journal
- Click New.
- The Create Inventory Journal view opens.
- Follow the four steps below.
Edit an existing inventory journal
- Click Edit on the journal you want to modify.
- The Edit Inventory Journal view opens.
- Follow the same four steps as when creating a new journal.
Step 1: Select warehouse
- Choose the warehouse where the inventory will take place (e.g., Nol).
- Click Next.
Step 2: Select product groups
Here you define which product groups should be included in the inventory.
- Left side: available product groups
- Right side: selected product groups
How to proceed:
- Select a product group from the left-hand list.
- Click the right arrows to move it to the right-hand list.
- Repeat as needed, or click All to include all product groups.
- Click Next.
Step 3: Select Articles (optional)
Here you can add additional articles that are not part of the product groups selected in the previous step.
- Left side: available articles (outside the selected product groups)
- Right side: articles to be included

How to proceed:
- Select the article you want to add.
- Click the right arrows to move them to the right-hand list.
- Repeat as needed, or click All to include all articles.
- Click Next.
Step 4: Finalize & save
In the final step, configure the details of the journal:
- Name the journal – choose a descriptive name.
- Start date – the date from which the inventory can begin. (Default is today.)
- Inventory type – One-time use or Reusable.
- Reusable is useful for recurring inventories (e.g., weekly or monthly).
- Comment – optional.
- Template – if selected, the journal can be used as a template for future inventories.
- When all settings are configured, click Save.
